QuickBooks guides/Multi-entity consolidation

Consolidate multiple QuickBooks companies without the spreadsheet

QuickBooks keeps each company in its own file. If you run two or more entities, the combined view is a spreadsheet you rebuild monthly — or one prompt here.

QuickBooks Online doesn't consolidate entities — each company is an island. So multi-entity owners and their accountants maintain the consolidation workbook: paste each P&L in, align the account names, sum across, fix the columns that shifted since last month.

Drop the exports from each company on the canvas instead. The AI aligns the charts of accounts, builds the consolidated statement with a by-entity breakdown, and the alignment logic is visible SQL — so "why did these two accounts merge?" has an answer you can read.

The prompt

Combine these three P&L exports into one consolidated statement — align the account names, show a column per entity plus a combined total.

Intercompany eliminations are a follow-up: "eliminate the management-fee income in Entity A against the expense in Entity B."

How it works

1 · Bring your books

Connect QuickBooks live, or drop an export — Excel, CSV, JSON, Parquet. From QuickBooks or any other system.

2 · Ask in plain English

The AI plans the steps and writes the SQL for each one — visible on the canvas, readable, auditable.

3 · Computed on your machine

A real query engine in your browser runs the SQL on your actual data. Numbers are computed, never generated.

What you get

  • One consolidated P&L with a column per entity and a combined total
  • Account-name alignment across different charts of accounts, spelled out
  • Eliminations applied where you direct them — visibly
  • A workflow that re-consolidates next month in one click

Common questions

The companies have different charts of accounts. Does that break it?

No — that's the normal case. The AI proposes the mapping between the charts and shows it; correct any line with a sentence and the consolidation recomputes.

Can I consolidate companies that aren't all on QuickBooks?

Yes. The canvas works on exports — one entity from QuickBooks, one from Xero, one from a spreadsheet is fine. If it exports to Excel or CSV, it consolidates.

Can the AI hallucinate my numbers?

No — the AI never generates numbers. It plans the analysis and writes SQL; a real query engine in your browser computes the result from your actual data. Every step is visible as SQL you can read and audit, so a wrong number is a wrong query you can see, not an invented figure you can't.

Does my financial data get uploaded to a server?

No. Your file contents stay in your browser — the computation runs on your machine. The AI only sees your column names and a small sample so it can plan the steps. When you connect QuickBooks live, data flows to your browser session, not into a database we keep.
